3. How and why we use it
- To deliver the Services: create accounts, enrol you, run classes, show recordings, review work, issue certificates, provide support (performance of contract and your consent).
- To process payments and meet tax, accounting and legal obligations (legal obligation).
- To personalise learning: recommend next steps, labs and recordings based on your activity (consent, which you can withdraw).
- To communicate: payment confirmations, class reminders, feedback alerts and important service notices; marketing only with consent, with an opt-out in every message.
- To keep the platform safe: prevent fraud and misuse, secure accounts, enforce our terms.
- To improve the Services: aggregated, de-identified analytics on what helps learners succeed.
4. AI processing and voice recordings
- Practice Labs use Google Cloud Vertex AI (Gemini models) hosted in the Mumbai (asia-south1) region to transcribe and analyse your inputs and generate feedback.
- When you record your voice, the audio is sent for analysis and not stored by Sportsversity after the analysis completes. We keep the transcript, derived metrics and feedback in your account so you can track progress. Under Google Cloud's terms, customer data sent to Vertex AI is not used to train Google's models.
- In Coach Labs, coaches can upload a photo or short video of a player for technique analysis. The coach must have the player's permission, and a parent or guardian's permission if the player is under 18. The photo or video is sent for analysis and not stored by Sportsversity; we keep only the written analysis in the coach's account. The analysis does not identify the person.
- AI output is automated and may be wrong. It is never used on its own to make decisions with legal or similarly significant effects on you, such as admission, grades or certificates.
5. Personalisation and the Sportsversity Brain
Our recommendation system (the “Brain”) combines your attendance, submissions, lab scores and activity to suggest next steps, flag when you might need support, and time reminders. It also estimates, from site activity, how likely a visitor is to enrol, so we can follow up helpfully. You can ask us to stop personalised recommendations and marketing follow-ups at any time by writing to info@sportsversity.co; core service messages will continue.
6. Children and parental consent
Our Services are designed for adults. Where a learner is under 18 (for example in family programmes), we process the child's data only with verifiable consent from a parent or lawful guardian, do not track children for targeted advertising, and do not undertake behavioural monitoring of children beyond what is needed to deliver learning. Parents may review or request deletion of their child's data by contacting us.
7. Sharing and processors
We do not sell personal data. We share it only as needed with:
- Faculty, mentors and judges assigned to your programme (roster details, submissions, attendance, scores).
- Processors acting on our instructions: Google Firebase and Google Cloud (hosting, database, authentication, AI, email delivery via Google Workspace or Gmail), Razorpay (payments), Expo (push notifications), Google Meet or Zoom and YouTube (classes and recordings).
- Authorities, courts or regulators where required by law, and professional advisers under confidentiality.
- A successor entity in a merger or reorganisation, subject to this policy.
8. Where data is stored
Our primary database, files and AI processing are hosted in India (Google Cloud Mumbai region). Some service providers may process limited data outside India under appropriate safeguards and subject to any restrictions notified by the Government of India.
9. Retention
- Account and learning records: while your account is active, and up to 3 years after your last activity to issue certificate verifications and resolve queries, unless you ask us to delete earlier.
- Payment and invoice records: as required by tax and accounting laws (generally 8 years).
- Raw voice audio from Practice Labs: not retained after analysis.
- Leads and enquiries: up to 24 months from last contact.
10. Security
We use access controls by role, encryption in transit (TLS) and at rest, server-side validation of every payment, audit logs for emails and administrative actions, and least-privilege service accounts. No system is perfectly secure. If a personal data breach occurs, we will notify affected users and the Data Protection Board of India as required by law.
11. Your rights
Subject to law, you have the right to: access a summary of your personal data and how it is processed; correct, complete or update it; erase it (you can delete your account from your profile); withdraw consent; nominate another person to exercise your rights in case of death or incapacity; and have your grievance redressed. Email info@sportsversity.co from your registered email. We respond within the timelines required by law.
12. Consent and withdrawal
Where we rely on consent, you can withdraw it as easily as you gave it, for example by deleting your account, opting out of marketing, or emailing us. Withdrawal does not affect processing already carried out, and some services may stop working without the data they need.
13. Cookies and analytics
See our Cookie Policy for what we store in your browser and why.
14. Communications
Service messages (receipts, class reminders, security notices) are part of the Services. Marketing emails and nudges about programmes you have not bought include an unsubscribe option. Push notifications can be turned off in your device settings.
15. Changes
We will post updates here and notify you of material changes by email or in-app before they take effect.
16. Grievance Officer and contact
